Introduction

    The PRM Group is in the business of providing Employment  Screening services to its clients to enhance their hiring and promotion decisions based on verification of relevant information on an individuals employment history and other pertinent data.

    A candidates written authority (on the prescribed form) is required before any screening process can commence. During the course of our screening process, various personal information is compiled for the express purpose of fulfilling our obligation to the client to supply relevant information. Such information may be of a professional or personal and sensitive nature (such as credit checks - as required) and is typically collected from sources including but not limited to Government Agencies, Tertiary institutions and past employers. Such information  will only be disclosed to the client with the candidates consent.

    Information Collected

    When candidates authorise us to conduct a screening, the candidate will supply detailed information on the prescribed form to enable us to proceed. Additional candidate information may also be supplied to us by the client which is usually contained in the candidate CV. During the course of our screening procedures, additional information may be collected which may include (but is not limited to) references from past employers, qualifications, credit information, criminal History, claims and judgements, immigration status, as is relevant for Employment Screening purposes.

    Information Purpose

    The Client has engaged us to collect information on a candidate and the candidate has authorised us to conduct such searches and collect such information as is relevant for the purposes of an Employment Screening. The authorisation obtained from the candidate allows us to provide a written report to the client of such information that is relevant that we have obtained through our sources.

    Information provided by the candidate should be accurate but we reserve the right to research and investigate other resources where inaccurate or out of date information is supplied, such as an alternate line manager or referee, unless expressly prohibited from doing so by the candidate. Only information that is relevant to the client will be supplied in a report which will include information supplied by the candidate and additional information from our sources. The main purpose of our report to the client is to verify a candidates education and employment history and other details that may be necessary.

    We cannot accept responsibility for the accuracy of the information from our sources as in most instances this information is maintained on databases that we have no control over.

    Questions and Disclosure

    Your personal information has been compiled expressly for a report commissioned by our client with your permission. This information can be requested by you in person or provided to a third party with your written authorisation.     Storage of Personal Information

    Your personal information is stored electronically on a secure database and may also be stored (all or in part) in hard copy. Such storage is for compliance and back-up purposes only. A candidates information can only be accessed by the specific client (via a reference) whom commission the screening with the candidates authorisation.. Candidate information may be sent to the client  via email, fax or mail. Clients may access specific authorised candidate information via our secure website (SSL) via login and password control.

    Technology Security 

    What is encryption?

    Encryption garbles your data by using irreversible mathematical functions. It is simply the encoding of data so that it cannot be read by anyone who does not know the password that decodes it.

    How secure is encryption?

    A file that is encrypted with a strong encryption algorithm, for example Blowfish 448 bit that The PRM Group uses is statistically impregnable against brute force attacks. It would take more than the age of universe for all the computers in existence to break this encrypted file!

    The PRM Group utilise 448bit "Blowfish" encryption for protecting computer resources and the information they contain against theft and unauthorised access.

    Destruction of Documents

    Hardcopy documents relating to candidate information may be kept for a period of 12 months under strict security to fulfil certain obligations. After this time, any such documents are destroyed in a secure manner.

    Online Security

    The PRM Group utilise many layers of security to protect and secure sensitive information. For security reasons, we are not permitted to disclose specific technologies used but they can be summarised as follows:

    The latest security patches are applied to our systems as they become available. These patches are software updates that are applied to fix security (and other) issues as they are identified and are a normal part of software systems management.

    We use the latest firewall protection software which is designed to block intrusion from unauthorised persons.

    The latest anti virus software and patches are installed.

    Secure sessions are enabled via SSL (secure socket layer) encryption which ensures your information cannot be read by any unauthorised persons. This 128 bit encryption is the industry standard for secure online transactions.  

    Online Client Access is achieved via a secure Login where a correct username and password will enable access. It is vital that you do not share your password with anyone and follow safe password practice for creation and storage. Automated lockout is activated should an incorrect login (username and/or password) be entered three times during a session. Please contact client services to re-activate your login form.
